Executive Assistant 1.5 days/week

For an organization actively envolved in the field of data, we are looking for an Executive Assistant for 1 or 1,5 days a week for an indefinite period of time (long term relation)

Apart from the obvious competencies an Executive Assistant should have, herewith some considerations:

  • Remote position, in combination with meetings in Brussels
  • Occassional travel to meetings/events in Europe
  • Profound knowledge of English and Dutch. Knowledge of the French & German language is a plus.
  • Start: December/January
  • Job description:
    1. Employee Onboarding: Set up payroll and contracts for new employees (platform Deel for international employees, Acerta for employees based in Belgium), add new employee to all relevant tools (Gmail, Slack, Zoho Expenses, HR Talent, Miro-optional)
    2. New Hires: Post job applications on relevant platforms, first contact person to respond to incoming job applications
    3. Salary Payment: pay salaries to employees at the end of the month (payslips are prepared by Deel and Acerta)
    4. Invoice Management: Create and process invoices, ensure timely payments (platform Yuki)
    5. Expense Management: Handle travel expenses and reimbursements (platform Zoho Expenses)
    6. Home Office Equipment: Order home office equipment (laptop, monitor, etc.) for full-time staff
    7. Event Management: Plan, organize, and oversee events (internal and external)
    8. Travel Coordination: Book flights and hotels for leadership team and team members
    9. Meeting Scheduling: Organize and coordinate meetings, book meeting rooms
    10. Catering Booking: Arrange catering services for events and meetings (internal and external)
    11. Accounting: Contact person for accounting matters (missing invoices, tax payments)
    12. Data Entry: Add data (budget, project plan, current activities, etc.) to platforms of the funders
